Macmillan Fund Raising Center - Events & Activities


Macmillan will: The group will:
Point of contact
  • Appoint a member of staff (the staff appointee) to liaise with a named member of the (the group appointee) on a regular basis
  • Update the group appointee if the staff appointee changes
  • Appoint a member of the group (the group appointee) to liaise with the staff appointee on a regular basis
  • Update the staff appointee if the group appointee changes
Name and reputation
  • Allow the group to use Macmillan’s name and logo in connection with its activities, so that the group can benefit from Macmillan’s reputation
  • Consider and protect Macmillan’s reputation at all times and avoid any unnecessary risk to Macmillan
  • Refer any issues that are outside the group’s remit to the staff appointee
Respect and appreciation
  • Always treat the group with the respect, consideration and appreciation
  • Always treat Macmillan staff with respect, consideration and appreciation
Event and fundraising information
  • Respond promptly when invited to attend group events, activities and fundraising initiatives
  • Keep the group informed of other Macmillan events, activities or initiatives
  • Regularly inform the staff appointee of the group’s planned events, activities and fundraising initiatives
  • Invite the staff appointee to attend meetings and events
Event and fundraising preparation
  • Help the group, wherever possible, to prepare for major group events, activities and fundraising initiatives
  • Provide advice and help regarding legal aspects, data protection, insurance, health and safety, and risk assessments and management
  • Make sure that all events, activity and fundraising initiatives comply with legislation and protect Macmillan’s reputation
  • Ask the staff appointee about any areas they are unsure about, especially regarding legal aspects, data protection, insurance, health and safety, and risk assessments and management
Donor care
  • Refer Macmillan supporters who ask for a local contact to the group wherever possible
  • Take action when the group tells Macmillan about any in memoriam gifts they receive to prevent any inappropriate mailings to these supporters
  • Show appreciation when people give their support and promptly thank donors for their gifts
  • Give the staff appointee details of any in memoriam gifts received
  • Comply with data protection legislation, seeking guidance if necessary
Identity
  • Encourage and assist the group, where necessary, to make full use of www.be.macmillan.org.uk
  • Assist the group wherever possible to produce promotional materials for activities and events
  • Always identify the group and its activities as being part of Macmillan
  • Correctly use Macmillan’s stationery, templates, materials, name, logo and company and charity numbers
Publicity
  • Assist the group, wherever possible, with publicity for major group activities
  • Use local media to publicise the group’s activities
  • Refrain from commenting to the media on other issues – these should be referred to the staff appointee
Insurance
  • Keep the group regularly informed about Macmillan’s insurance cover
  • Comply with the provisions of Macmillan’s insurance cover, seeking advice on issues the group is unsure about
  • Avoid all uninsurable activities
Contracting
  • Review the terms of all contracts before they are entered into
  • Assist the group wherever possible with queries regarding entering into contracts
  • Not enter into contracts in Macmillan’s name without getting approval from the staff appointee
Finance
  • Promptly acknowledge any monies received from the group
  • Maintain records so they can provide the group with information about total amounts raised
  • Give advice to the member of the group dealing with financial matters if they need it
  • Review any request for a bank account
  • Make sure any funds they raise are passed to Macmillan as soon as possible
  • Ensure that the member of the group dealing with financial matters has sufficient financial expertise to do so
  • Give that person’s details to the staff appointee and let the staff appointee know if this changes
  • Seek advice on any financial matters they are unsure about
  • Keep records of income and expenditure in the agreed format, this includes submitting annual audited accounts where required
  • Not open any bank account without getting agreement from Macmillan
  • Follow procedures as to how to manage any bank account and give authority to the bank to disclose balances to Macmillan
  • Assist Macmillan to review and audit the group’s activities and financial records
Group membership
  • Reply promptly when people express interest in the group’s work or becoming members and refer these enquiries to the group
  • Assist the group, wherever possible, to recruit new members and helpers
  • Put forward members of the group for recognition of their contribution to the group’s activities using Macmillan award schemes
  • Handle all enquiries promptly and courteously
  • Welcome all potential new members, supporters and helpers
  • Make every effort to maintain or increase the size of the group, using their local knowledge and contacts to recruit new members, supporters and helpers
  • Give the name and contact details of each member of the group to the staff appointee at least once a year
Meetings and operational issues
  • Respond promptly to invitations to attend meetings
  • Attend a minimum of one group meeting a year
  • Advise on structure of the group and how it should run
  • Let the staff appointee know about about group meetings and invite him/her to attend
  • Provide the staff appointee with copies of meeting notes
  • Keep the staff appointee informed of operational and structural issues, such as how the group will communicate, whether it will have officers, how long they will serve, how new members will be recruited, how meetings will be run and how decisions will be recorded
Knowledge, experience and training
  • Share ideas, best practice, knowledge and experience with the group, and put the group in touch with appropriate specialists
  • Invite the group to any appropriate local gatherings, rallies or supporter days etc.
  • Provide training for the group in key areas of its activities
  • Be guided by advice from the staff appointee and other Macmillan specialists
  • Share ideas, best practice, knowledge and experience with Macmillan staff and other volunteer groups
  • Ensure members of the group who have attended local gatherings, rallies, supporter days and training events share the knowledge they have gained with the rest of the Group
Policies handbooks and guides
  • Keep the group informed of all relevant Macmillan policies and standards
  • Provide the group with handbooks and guides on relevant issues and regularly update these
  • Comply with all relevant Macmillan policies and standards
  • Read any handbooks and guides, and any amendments to them, and always act in accordance with them
